Archiving Clients
Archiving is designed for clients you are no longer actively working with. When you archive a client, they are removed from your active workspace but their data remains safely stored for future reference. Archiving helps you keep your client list clean while keeping historical records intact.
Why Archive a Client?
Archiving a client is useful when:
- You’ve completed your work with them
- They no longer require support or access to new activities
- You want to keep their data without counting them toward your billing
Archived clients do not count toward your subscription’s client limit, so you can store unlimited archived clients at no extra cost.
How to Archive a Client

To archive a client:
- Go to your Client Listing
- Find the client you want to archive and click the three dots (⋯) on the right side of the row.
- Select “Archive”
- Confirm the action

A confirmation modal will appear asking you to type “ARCHIVE” to proceed. This step ensures you understand that all running and planned activities/programs will be canceled. Once confirmed, the client will be moved into archive mode immediately.
No More Client–Professional Interaction
Once a client is archived, all interactive features between you and the client are disabled. This means you can no longer:
- Send new activities or programs
- Share new notes
- Select the client as the context for creating a note
- Assign tasks to the client
- Select the client as the context for a task
The client is removed from your Active Clients list but all of their data remains safely stored in your archive.
Activities & Programs Are Cancelled
When you archive a client, the system automatically:
- Cancels all running activities and programs
- Cancels all planned activities and programs
This ensures that no new content is delivered to the client after archiving.
Client Access Becomes Read-Only
Archived clients keep access to their account, but in a fully read-only mode.
They can view:
- Past activities
- Completed programs
- Messages and comments
- Notes
They cannot:
- Receive new activities or programs
- Complete activities
- Share notes or send new communication
Archiving does not delete any client data. All past data remains intact and accessible in read-only form.
