Getting Started with Notes

From quick insights and session takeaways to lightbulb moments that happen between appointments, there is often a lot of valuable information about your clients floating around in your head. Notes in Quenza give you one organized place to capture, structure, and share those thoughts in a way that supports both your practice and your clients' progress.

Whether you are recording session details, tracking observations, or sending helpful summaries to clients, Notes make it easy to keep everything in one place and connected to the right context.

Creating Your First Note

To create a new note, go to the Notes section and click the + Note button. Give your note a title such as “Session Summary” or “Progress Update,” then use the content field below to type your text. This is where you can write reflections, observations, or anything else you want to keep track of.

You can paste in notes you’ve taken elsewhere or write them directly in Quenza. Once added, they are stored safely in your notes overview and can be accessed at any time.

Organizing with Settings

The settings section is what makes notes especially powerful. You can assign a specific date and time to the note so that it accurately reflects when the session or observation took place, even if you are writing it afterward.

You can also link the note to a specific client by selecting their name from the dropdown. Once linked, the note becomes part of the client’s profile and is visible in their Notes tab.

Sharing Notes with Clients

If you want to share a note with your client, simply toggle the Share switch on before saving. This is a great way to keep clients engaged and give them a written summary of your work together. Shared notes are visible in the client’s app, and the client will be notified when a new one is available.

Viewing and Commenting

All your notes appear in the Notes overview. You will see the title, author, client (if linked), and whether the note has been shared.

If you visit the client’s profile, the same note will also appear under their Notes tab. When a note is shared, your client can view it directly from their app.

Each note includes a comment tab that allows you and your client to have a conversation directly on the note. You can leave feedback, clarify a point, or ask a question, and your client can reply in real time. This turns your notes into a collaborative space, not just a static record.

Supporting Progress Through Notes

Notes help you stay organized as a professional, but they also help your clients stay engaged in the process. When you share notes that show progress, reflect on insights, or capture meaningful moments, it creates a sense of continuity and momentum between sessions.
