Getting Started With Tasks

Tasks in Quenza are a simple and powerful way to stay organized and help your clients stay on track. Whether you are managing your own to-do list or assigning small action steps to clients, tasks make it easy to keep everything clear, accountable, and connected to the right context.

With the latest update, you can now add detailed descriptions to tasks using a built-in text editor. This allows you to include instructions, links, or extra information that makes each task more meaningful and complete.

Creating a Task for Yourself

  1. To create a personal task, start by clicking the + Task button.

  1. Enter a clear title that reminds you exactly what needs to be done, such as “Send contract” or “Follow up with client.”

  1. Add a description using the text editor. You can format your text, create bullet points or numbered lists, and even include links. Use this space to provide additional details, context, or resources. For examples:
    • “Send the updated coaching agreement. Click here to access the latest version.”
    • “Prepare notes for the next session focusing on progress in goal setting.”

  1. Set a due date to stay on schedule.

  1. Assign the task to yourself by selecting your name or clicking Assign me.

  1. If the task relates to a specific client, link it to their profile so everything stays visible and connected.

  1. When you click Add task, it will appear in your personal overview showing the title, due date, client (if assigned), and who the task is assigned to. Once the task is completed, you can check the box to mark it as done.

Assigning a Task to a Client

You can also create tasks that are assigned directly to a client. This is perfect for reminders, simple exercises, or small follow-up actions.

From the Tasks overview, click + Task and then:

  1. Enter a descriptive title such as “Practice mindfulness breathing exercise.”

    Use the description field to provide clear instructions or links to materials. For example:

    • “Spend 5 minutes each morning doing this guided meditation. Notice your breathing and write down how you feel afterward.”
    • “Reflect on your week and note the moments that felt most energizing. Bring your reflections to our next session.”
  2. Choose a due date for when the client should complete the task.
  3. Assign the task to your client by selecting their name from your client list.

Once the task is created, it will appear in your task overview and also in the client’s profile under their Tasks tab. When the client marks the task as complete in the Quenza app, you will automatically receive a notification so you can stay up to date on their progress.


Why Use Task Descriptions

The  description field makes tasks more flexible and informative. Instead of being simple reminders, tasks can now act as mini action plans that guide your clients more effectively.

For helping professionals, this brings several advantages:

  • It provides clarity and context, helping clients understand what the task is for and what they should focus on.
  • It allows you to add links to worksheets, resources, or online materials that support the task.
  • It gives you a space to include reflection questions or journaling prompts to deepen client engagement.

This richer level of detail supports clients in understanding and completing their tasks with confidence and purpose.
